Position Descriptions
Officer and Director Positions
Officers are expected to be current student of the Xingjian Dance Studio and active member of the associated charity club.
Executive Committee/Officers
The Executive Committee is comprised of all officers of the charity club (club name to be decided later). The primary responsibilities of each officers are defined as below:
President
The President’s responsibilities include:
- Setting overall strategy and policy for the club
- Supervising and coordinating all club activities
- Developing annual club activity plan and timeline
- Calling and presiding over regular and special meetings when needed
- Coordinating with performance organizer(s)/host(s) and managing all on-site performance-related activities (i.e. program hosting, club introduction, media interview etc.)
- Representing the club to the public and serving as a spokesperson for the club in all public occasions
- Managing relationship with YCC to make sure all club activities are in compliance to YCC’s policy
- Serving as a secondary signatory on financial accounts
- Serving as a liaison to the studio director and parents association, providing regular updates to organizational tasks
- Recruiting new members
Vice President – Event Officer
The Event VP’s responsibilities include:
- Assuming President’s responsibilities in the absence of the President
- Managing all external performance inquiries and related correspondence in a timely and appropriate manner
- Making recommendations to the studio director and other executive officers in order to jointly develop annual event plan for the charity club
- Coordinating with performance organizer(s)/host(s) and managing all on-site performance-related activities (i.e. program hosting, club introduction, media interview etc.)
- Developing continuous relationship with community and organizations and explore new opportunities for public events
- Assisting President in managing external relationships when necessary
- Preparing quarterly summary report for President and studio director
- Performing other duties as assigned by the President
Vice President – Public Relationship Officer
The Public Relationship VP’s responsibilities include:
- In the absence of the President, representing the club to the public and serving as a spokesperson for the club in public occasions
- Managing public relationships between club and community, organizations, sponsors, local media etc. to strengthen the social image of the club and enhance its impact on the community service
- Managing relationship with YCC to make sure all club activities are in compliance to YCC’s policy
- Publishing news reports, events reports etc. on local media (Chinese media in particular) on a regular basis
- Preparing quarterly summary report for President and studio director
- Recruiting new members
- Performing other duties as assigned by the President
Vice President – Administration
The Administration VP’s responsibilities include:
- Supporting President and other two VPs
- Managing all internal activities including meeting scheduling, agenda, meeting minutes/distribution, e-newsletter, club website update etc.
- Managing communications between club, studio director and the parents association
- Preparing the Community Service Certificate by Club and YCC to issue to club members
- Maintaining records of club membership
- Maintaining records of all club activities and events calendar
- Serving as the club’s recognition and appreciation coordinator
- Recruiting new members
- Performing other duties as assigned by the President
Treasurer
The Treasurer’s responsibilities include:
- Preparing annual budget plan and event-based budgets and related record keeping
- Processing all monetary transactions including receiving funds paid to the club and disbursing money to the pre-selected charity subjects as well as other pre-authorized orders/invoices
- Maintaining the permanent record of all financial matters
- Managing time card reporting for all club members to YCC
